Custom Personalised Calendars for Offices in India: A Buying Guide

Most corporate gifts are seen once. The calendar is the exception.

It sits on a desk for twelve months. It gets looked at every morning. When somebody books a meeting, your logo is in their eyeline. No other gift in the same price range stays visible for that long.

This guide covers what HR and marketing teams in India need to decide before placing the order — format, quantity, timeline and the mistakes that cost money every year.

Why calendars still work in Indian offices

Digital calendars replaced paper for scheduling, not for the desk. Walk through any office in Gurgaon, Pune or Coimbatore in February and the desk calendars are still there.

Three reasons they hold up:

Everyone can use one. Unlike branded merchandise, a calendar has no size, no taste and no age problem. The intern and the CFO both put it on the desk.

It works as a gift and as marketing. Most corporate gifting either pleases the receiver or serves the brand. A calendar does both without feeling like an advertisement.

It is the right price. Expensive enough to feel considered, cheap enough to give to four hundred people.

The four formats and who each one suits

1. Tabletop calendar

The standard spiral-bound desk calendar, one page a month. This is the default for employee gifting and the safest choice if you are ordering for the first time. It stands on its own, takes little desk space, and there is room for a photo on every page.

Best for: employee gifting, client gifting at scale, anything above 100 pieces. See: customized tabletop calendar

2. Landscape desk calendar

Wider than it is tall, which gives you a bigger image area and more room in the date boxes. Teams that want people to actually write on the calendar go for this one.

Best for: sales teams, project teams, anyone who plans on paper. See: landscape desk calendar

3. Date reminder calendar

The same desk format, but with birthdays, work anniversaries and company milestones printed into the dates. This is the one that gets a reaction. An employee seeing their own birthday printed on a company calendar remembers it.

Best for: internal HR gifting, small teams under 150 where you have everyone’s dates. See: personalised date reminder calendar

4. Fridge and magnetic calendar

Not for the desk — for the pantry wall, the shop floor, or as a gift that goes home with the employee. Because it goes home, it gets seen by the family too, which extends the reach of the same gift.

Best for: factory and warehouse teams, retail staff, dealer and distributor gifting. See: calendar magnet for refrigerator

How many to order

Count these four groups and add them up:

  1. Employees — including anyone joining before March
  2. Clients and vendors — the list your sales team keeps, not the one in the CRM
  3. Branch and regional offices — dispatch to each location separately
  4. Spares — 10% of the total, minimum 25 pieces

That last line is the one everyone cuts and everyone regrets. Spares cover new joiners in January, the client your MD suddenly remembers, and the box that gets damaged in transit. Reprinting fifty calendars in January costs far more per piece than including them in the original run.

The timeline

Work backwards from 1 January. Most Indian offices start about a month too late.

August to September — decide quantity and budget. Get the number approved before design starts. Changing quantity after the design is locked is the most common cause of delay.

October — collect photos and dates. Team photos, office events, founder’s day, the public holiday list for the year. Chasing this information takes longer than anyone expects, especially across multiple locations.

Early November — approve the proof. Check the spelling of every name, every date, and the holiday list twice. A wrong date printed 500 times is a wrong date for a whole year.

Mid November — confirm the print order. Bulk printing takes time and the festive season slows every courier in the country. If Diwali falls late, add a week.

Early December — delivery and internal dispatch. This leaves you room to send calendars to branch offices before people start taking year-end leave.

What goes on each month

The single biggest difference between a calendar people keep and one they bin is what is on the pages.

Use real photos of real people. Team pictures, office moments, the annual day, the cricket match. Stock photography is instantly recognisable and instantly ignored.

Mark the holidays correctly. Indian holiday lists vary by state. If you have offices in Tamil Nadu and Punjab, either print state-specific versions or mark the common ones and note the rest.

Keep the branding light. Your logo in a corner is enough. A calendar that looks like an advertisement gets thrown away in the first week.

Leave writing space. If the date boxes are too small to write in, the calendar becomes decoration instead of a tool.

Add the company’s own dates. Foundation day, product launch anniversaries, the annual offsite. It makes the calendar feel like it belongs to the company rather than to a printer.

What changes the price

FactorEffect on cost
QuantityThe single biggest lever — per-piece cost drops sharply above 250
Number of unique designsDifferent designs per branch means separate print runs
Paper quality and finishMatte, gloss and textured stock all price differently
BindingSpiral costs more than a simple fold-stand
Delivery locationsOne address is cheapest, twelve branches is not
TimelineRush jobs in December carry a premium everywhere

If the budget is tight, cut the number of unique designs before you cut the quantity or the paper. One good design across all locations beats four cheap ones.

Mistakes Indian offices make every year

Starting in November. By then you are competing with every other company for the same printing capacity.

Ordering exactly the headcount. See the note on spares above.

Approving the proof in a hurry. One person should check names, one should check dates, and neither should be the person who made the design.

Ignoring the branch offices. Dispatch to twelve locations is a logistics job, not an afterthought. Plan it when you plan the order.

Choosing on price alone. The difference between a ₹180 calendar and a ₹240 calendar is visible on the desk. The difference in your total budget for 300 pieces is ₹18,000 — less than one team dinner.

Questions to ask before you place the order

  • What is the minimum order quantity?
  • How many rounds of design changes are included?
  • Is GST included in the quoted price, and will I get a proper tax invoice?
  • What is the production time after proof approval?
  • Can you dispatch to multiple locations, and at what cost?
  • What happens if a box is damaged in transit?
  • Can I add a reorder later in January at the same rate?

Get these in writing on email. A WhatsApp conversation is not a purchase order.

Beyond calendars

If you are already placing a bulk order, magnets are worth adding to the same run. They cost a fraction of a calendar, they go home with the employee, and they work for dealer and distributor gifting where a desk calendar is not practical. Our bulk fridge magnets are ordered by the same teams for exactly this reason.

Frequently asked questions

What is the minimum order for custom calendars in India?

It varies by supplier. Ask before you design — minimums typically start between 25 and 50 pieces for desk calendars.

When should a company order calendars for the new year?

Confirm the order by mid-November. Design and photo collection should start in September.

Which calendar format is best for employee gifting?

A tabletop desk calendar for most offices. A date reminder calendar if your team is under 150 and you have everyone’s birthdays.

Can we print different designs for different branches?

Yes, but each design is a separate print run and adds to the cost. One design across locations is more economical.

Do you provide a GST invoice for corporate orders?

Ask your supplier to confirm this in writing before ordering. Any registered supplier should be able to issue one.
